About your new role

The London Team is a growing and high‑performing part of Weightmans’ national Specialty offering. The team delivers high‑value transactional and advisory work across London and beyond.

We are looking to recruit a Legal Secretary to support the Specialty team in London or Leicester which specialises in insurance litigation. The Specialty team undertakes a broad range of substantial, challenging and largely contentious work.

Main duties and responsibilities

  • Providing essential secretarial and administrative support to the team
  • Providing assistance to the team with the billing process (including sending invoices to clients) and debt recovery
  • Carrying out conflict checks and opening new matters on the firm’s systems
  • Arranging and co‑ordinating meetings, events and seminars, in close co‑operation with fee‑earners
  • Completion of management information
  • Booking travel and dealing with expenses, in accordance with firm policy
  • Dealing with confidential, sensitive and restricted internal and client matters
  • Providing ad hoc support to campaign and marketing activities
  • Liaising with support staff to manage workloads efficiently
  • Assisting with other work allocated by the Team Manager
  • Working in accordance with Weightmans’ values

Basic fee earning work, including

  • Drafting basic correspondence, document reviews, chronologies and preparing court and other documentation
  • Preparing instructions to experts/counsel and paper/electronic bundles of documents
  • Liaising by phone and e‑mail with client contacts, counsel and third parties
  • Attending meetings and preparing attendance notes
  • Recording time for such chargeable work
  • Carrying out basic research as required

About You

You will have previous experience and a genuine and demonstrable interest in the above area of work. We also require you to have/be:

  • Extensive legal secretarial experience, who is pro‑active and works well in a fast‑paced environment.
  • Experience of dealing with insurance litigation (including a basic understanding of insurance policies, the insurance market, reporting arrangements, reserving philosophies, and the relationship between brokers, underwriters/insurers and lawyers) is desirable.
  • Fast, accurate typist with good audio typing skills, including Microsoft Word, Excel and PowerPoint.
  • Ability to create and amend large, complicated documents (i.e. automatic numbering, track changes etc).
  • Excellent organisation and time management skills.
  • Good teamwork skills.
  • Maintain a high level of accuracy.
  • Flexible, pro‑active and works well under pressure.
  • Adherence to the service levels within the team (especially as required by client service level agreements) and ensure work is completed within these levels at all times.
  • Effective liaison with the team manager and support team manager to ensure high quality of service to clients.
  • Effective liaison with other support staff to manage workloads efficiently.
  • Active progression of one’s own professional development with support from the team manager and support team manager.
  • Dealing with confidential client matters.
  • Providing assistance with billing and archiving.
  • Providing support in relation to case management and IT systems.
  • Compliance with relevant policies and procedures.
  • Working in accordance with Weightmans’ values.
  • Training on the job will be provided, where appropriate.
  • Experience of doing some fee‑earning work is desirable. A willingness to do so is essential.
  • Outgoing, professional and confident with a positive attitude.
