Job Description:

The Durham and Darlington Perinatal Mental Health Team are looking for a Team Administrator to support those affected by perinatal mental health. We are seeking a highly motivated person with a keen interest in this area.

This is a permanent 37.5‑hour post, Monday to Friday 9am to 5pm.

Responsibilities

  • Attend team huddles and liaise with other agencies.
  • Arrange patient appointments and manage the central email inbox.
  • Monitor and complete work from shared mailboxes, including data collection and minute‑taking for clinical meetings.
  • Provide diary management and support to clinicians within the team.
  • Answer telephone calls to service users and other agencies, and provide basic dictation using BigHand.
  • Support the wider secretarial team across the locality as required.
  • Work under pressure to meet deadlines, prioritise workload and maintain confidentiality when handling sensitive information.
  • Maintain office systems and processes, ensuring compliance with data protection policies.

Qualifications

  • Level3 qualification in Business Administration or equivalent experience, or willingness to attain this qualification during probation.
  • Functional skills in literacy and numeracy Level2, or O‑Level/New GCSE in Maths and English (GradeC or above / Grade4‑9).
  • Secretarial/administrative experience in a clinical environment.
  • Experience in diary management, filing systems, meeting coordination, minute‑taking, data input, collating and presenting information.
  • Customer service experience (face‑to‑face, answering calls, correspondence).
  • Experience organising and completing demands and workloads.
  • Experience setting up and maintaining administrative systems and processes.
  • Experience working autonomously and proactively.
  • Experience supporting or supervising staff.
  • Experience handling money and working within financial guidelines.
  • Comprehensive knowledge of Microsoft Office applications.
  • Understanding of data protection and maintaining confidentiality.
  • Knowledge of office systems and processes.
  • Excellent IT and organisational skills, and a good knowledge of information systems.
  • Excellent verbal and written communication skills, with proven secretarial experience.
