Are you a passionate Events Assistant looking for your next role? Bolt Burdon Kemp, a top-ranked London law firm, is looking for a dedicated Events Assistant to join our team. In this role, you’ll help ensure every event is carefully planned and delivered to the highest standard.
What we’re looking for
- Previous experience planning and coordinating events both for an internal and external audience.
- Excellent organisation and communication skills, with a proven ability to perform effectively under pressure.
- A customer-focused individual who can build positive relationships with a wide range of stakeholders, including vulnerable clients and external professionals.
- A proactive and organised approach to work, with the ability to manage competing priorities and consistently meet deadlines.
- Strong IT skills, including Excel, PowerPoint, Teams and Zoom.
- A passion to excel with a collaborative approach, and a curious mindset with a commitment to continuous learning and development.
- Flexibility to work evenings and weekends as required by the events schedule.
What you’ll do
- Coordinate, in conjunction with the Head of Events, all aspects of event execution, including invitations and client communications, venue and supplier sourcing and communication, logistics and budget tracking, event technology, and on-site support to ensure a seamless attendee experience.
- Build strong relationships with internal stakeholders, maintain event databases and CRM records, manage invoicing and compliance processes, and contribute to best practices by staying up to date with industry trends.
- Manage attendee lists and communicate effectively with internal and external stakeholders by telephone and email, and through EventsAir. Please note that this may include communicating with vulnerable clients.
- Provide support during events, including setup, breakdown, and troubleshooting. Please note this may include attendance outside normal working hours, or at locations away from the office.
- Design and create event marketing materials, including invitations and promotional materials.
- Complete ad hoc administrative tasks. This will include, but is not limited to, managing invoices and maintaining event documentation.
