Job Description:

An exciting opportunity has arisen for a well‑motivated individual to join us as a Personal Assistant (PA)/Medical Secretary in the Oncology Department within Networked Services Division. This is a full‑time permanent post, 37.5 hours per week Monday‑Friday, with the option of hybrid working. The Trust is committed to supporting flexible working agreements. The post holder will act as PA to the Senior Consultant team within Lymphoma Research and provide full secretarial and administrative support, ensuring a high standard of PA/secretarial duties, deadlines and audio‑typing targets are met. The PA and secretarial responsibilities will be time‑split approximately 50:50. You will be enthusiastic, flexible, willing to learn, eager to play an effective part in a busy team environment, work to a high standard and be able to use your own initiative. You will have experience of audio‑typing and copy‑typing, ideally in a healthcare environment with PA and Medical Secretarial experience and good knowledge of medical terminology. Knowledge of cancer pathways/targets would be beneficial.

Main duties of the job

  • Manage consultant diaries, appointments, meetings and interviews.
  • Organise and schedule meetings and events.
  • Arrange consultant travel and accommodation and process expense claims.
  • Provide full secretarial service, including handling mail, prioritising tasks and acting on matters that can be dealt with without further reference.
  • Disseminate a variety of correspondence and documentation, some of which is highly confidential.
  • Type clinical correspondence, treatment summaries and annotations, ensuring compliance with turnaround time targets and office instructions.
  • Monitor clinic templates with the clinical team and administration staff to ensure clinic numbers are manageable; escalating to the management team when appropriate.
  • Liaise with staff at all levels internally and externally, answer written and verbal enquiries and take action on matters that can be resolved independently.
  • Answer written and verbal enquiries from patients/relatives, referring enquiries to consultants only when necessary.
  • Deal with stressful phone calls which may be emotional/abusive and of a sensitive nature from relatives/patients.
  • Liaise with internal and external departments to arrange clinical investigations/procedures and support patients involved in trials.

Person Specification

Qualifications

  • 5 GCSEs grade C or above, including Maths and English, or equivalent.
  • RSA stage II or III.

Experience

  • Previous secretarial/PA experience.
  • Experience of working in a health care setting.
  • Experience of working as part of a team and in isolation.
  • Experience in managing priorities under pressure, to meet service needs and strict deadlines.
  • Previous secretarial/PA experience in Oncology.
  • Previous experience of patient management systems.

Skills

  • Audio and copy typing.
  • Sound knowledge of Medical Terminology.
  • Word‑processing.
  • Willingness to attend training courses appropriate to the role.
  • Microsoft Office (Excel, PowerPoint).
