Senior Pharmacy Assistant Technical Officer – Stores and Distribution

Assist in the day‑to‑day duties of the Pharmacy Procurement and Distribution unit, focusing on the distribution and receiving of all medicines. This role falls under the supervision of the Lead Pharmacy Procurement and Distribution Team and involves cross‑site responsibilities to ensure consistent receiving practice across the unit.
Main duties of the job
Distribution
- Use the internal computer system EPIC to issue stock items to replenish wards, departments and community clinics.
- Respond to stock requests using information from the Omnicell system and assist with stock optimisation.
- Accurately assemble items on picking tickets ready for checking.
- Check items previously picked by another staff member and pack appropriately for delivery to required areas.
- Maintain responsibility for topping up drugs to designated wards/departments and cover absent staff where necessary.
- Maintain stocked items in the Omnicell cabinets, including assigning, removing and adjusting stock locations.
- Generate Omnicell critical items report.
- Assist in issuing ‘to follow’ items for wards and departments daily.
- Monitor and address requests and queries received in the distribution email inbox, including ad‑hoc items to wards.
- Check and record environmental temperatures and refer to a senior colleague if anomalies occur.
Procurement
- Provide cover for ordering in the absence of the Procurement Assistant.
- Provide cover for invoicing in the absence of the Procurement Assistant.
- Investigate ordering and invoicing discrepancies.
- Investigate and escale out‑of‑stock items.
Job responsibilities
Participate in the department 7‑day service, including weekends.
Handle enquiries received over the telephone and within Pharmacy Stores, referring to Senior Technicians if necessary.
Attend promptly to all internal and external customers, providing a high standard of customer service.
Ensure data accuracy in the computer system.
Undergo training to ensure competence.
Follow all procedures and policies in the department, and execute any other duties as required by the Director of Pharmacy.
Maintain satisfactory personal performance and professional standards, achieving agreed objectives where possible as described in the Annual Staff Appraisal system.

Person Specification
Education and Qualifications
- GCSE or equivalent in English and Mathematics grades A‑C or grades 4‑9.
- NVQ Level 2 accredited knowledge in Pharmacy Services, or willingness to work towards obtaining.
Knowledge and Experience
- Understanding of the importance of the medicines supply chain in a hospital environment.
- Experience in a hospital environment.
- Experience of training staff members.
Skills and Competencies
- Ability to prioritise and organise routine daily tasks using own initiative in an accurate, methodical manner.
- Ability to resolve/escalate emergency stock problems.
- Ability to work in a busy demand‑led service on wards and stores, and respond to changing situations and environments.
- Ability to analyse ward stock usage figures and adjust stock levels accordingly.

£30,630 to £32,346 a year, inc Outer HCA.
