The Opportunity

We are looking for an exceptional Executive Assistant to provide dedicated support to our Creative Director and CEO. This is a pivotal role at the heart of a fast-growing luxury brand, requiring someone who is highly organised, discreet, proactive and calm under pressure. Working closely with two dynamic leaders, you will be responsible for ensuring their days run seamlessly, anticipating needs before they arise, managing competing priorities, and enabling them to focus on driving the business and creative vision forward. No two days are the same. This role offers a unique opportunity to gain exposure to every aspect of a luxury fashion business while becoming an integral part of a collaborative and ambitious team.

Main Duties & Responsibilities

Executive & Personal Support

  • Manage diaries for the Creative Director and CEO, prioritising appointments and resolving scheduling conflicts.
  • Anticipate upcoming commitments, ensuring both executives are thoroughly prepared with all necessary information and materials.
  • Act as a trusted gatekeeper, exercising sound judgement and discretion when managing requests and competing priorities.
  • Provide personal assistance to the principals as required, including coordinating contractors and household services, managing personal appointments, organising deliveries and returns, and handling day-to-day personal administrative tasks.
  • Assist with personal shopping administration, including organising returns and exchanges, and managing personal purchases where required.

Travel & Logistics

  • Arrange domestic and international travel, including flights, accommodation, ground transportation and visas where required.
  • Prepare detailed travel itineraries that maximise efficiency and ensure smooth execution.
  • Coordinate logistics for meetings, events and external engagements.

Meeting & Project Support

  • Prepare agendas, briefing documents and presentation materials for internal and external meetings.
  • Assist with the creation of polished presentations and reports.
  • Take ownership of follow-up actions and ensure deadlines and commitments are met.

Communications

  • Manage correspondence on behalf of the Creative Director and CEO
  • Screen incoming enquiries and confidently handle communications with internal stakeholders, clients, suppliers and industry contacts.
  • Maintain absolute confidentiality when handling sensitive information.

Office Management & Operations

  • Help maintain an organised, welcoming and efficient office environment.
  • Manage office supplies, facilities and general administrative requirements.
  • Ensure Health & Safety documentation, compliance records and office certificates remain accurate and up to date.
  • Act as the primary liaison with the building management team and reception, ensuring the smooth day-to-day running of the office.
  • Serve as the main point of contact for our external IT provider, coordinating support requests, onboarding new starters, troubleshooting device issues and ensuring all employees have the equipment and technical support they need.
  • Support recruitment, onboarding and offboarding processes, including interview coordination and new starter administration.
  • Act as administrator for CharlieHR, maintaining employee records, leave management and onboarding workflows.
  • Manage Google Workspace Admin, including user account creation and deactivation, permissions, groups and system access for new starters and leavers.
  • Process expenses accurately and in a timely manner.
  • Provide ad hoc operational support across the wider team as business needs evolve.

Team Culture and Events

  • Coordinate internal celebrations including birthdays, work anniversaries and leaving events.
  • Lead the organisation of company events, including our annual Summer Party and Christmas Party.
  • Coordinate travel and accommodation for our Italian team during company events and key business meetings in London.
  • Create detailed itineraries that balance business meetings with social activities, ensuring colleagues enjoy a seamless and welcoming experience during their stay.

You are naturally organised, resourceful and enjoy bringing order to complexity. You are equally comfortable managing multiple priorities as you are anticipating what needs to happen next. You thrive in a fast-paced environment, have exceptional attention to detail, and take pride in delivering work to the highest standard.

Essential

  • Previous experience as a Personal Assistant, Executive Assistant or in a similar support role.
  • Outstanding organisational and time-management skills with the ability to manage multiple priorities simultaneously.
  • Excellent written and verbal communication skills.
  • A proactive, solutions-focused mindset with the confidence to work independently and anticipate needs before they arise.
  • High levels of discretion, professionalism and emotional intelligence.
  • The ability to remain calm under pressure and adapt quickly in a dynamic environment.
  • Strong proficiency in Microsoft Office, Google Workspace and Zoom.
  • Experience within luxury, fashion, retail or another creative industry would be advantageous, but is not essential.
  • The right to work in the UK.
  • Availability to start as soon as possible.
