Overview
We’re looking for a Lead Administrator to support the District Nursing and Community Therapy Service teams in the Northeast, covering Bicester and Kidlington. This varied and demanding role will provide opportunities for developing processes within a friendly team of clinicians and administrators to ensure patient needs are met and accurate paper and electronic records are maintained. The role is currently undergoing job evaluation, so some duties may change.
Responsibilities
- Organise the day‑to‑day of the administrative team across four offices and work flexibly to meet the needs of this multi‑disciplinary team.
- Support Trust policies for core tasks, health & safety, auditing and maintaining accurate records.
- Prepare meeting minutes and complete action plans.
- Lead in the day‑to‑day office management, including facilities, room bookings, stock management and liaising with the Trust Estates team and building managers.
- Provide administrative support for meetings, including organising meetings, preparing agendas, taking minutes and completing action plans.
- Motivate and support the administrative team, working calmly and efficiently in a busy environment and promoting new ideas to improve the service.
- Ensure smooth and timely patient referrals and maintain patient records.
Qualifications
- Essential experience managing a small team, with reliable and punctual communication skills.
- Proficient in MS Word, Excel, Outlook and Teams.
- NVQ Level II in business administration or equivalent experience.
- Ability to manage and prioritise own workload, and to work autonomously.
- Highly organised with the ability to multitask and problem‑solve in a busy and varied environment.
