Primley Wood Primary School,

We are looking to appoint a warm, enthusiastic candidate who, as an administrative professional, will be responsible for managing the front desk and serving as the first point of contact for visitors, pupils and parents. The School Administrator and Receptionist will play a crucial role in creating a welcoming and organised environment, with an ability to act as a liaison between students, parents, staff and the school office, facilitating communication in order to ensure smooth operations within the school.

Our children are a delight; the school has excellent resources, our teachers are enthusiastic and hardworking, and the support team is dedicated to the wellbeing of all. We opened in September 2013 as a one‑form entry school, now with nursery provision.

Duties and Responsibilities

Admissions

  • To support the Admissions Lead to guide new starters and prospective parents through the admissions process
  • Liaise with the Trust admissions department to maintain an accurate and ongoing list of students to be admitted in September/in‑year with the Admissions Lead
  • Enter pupil data onto the computer from applications received for admission for all phases of school entry
  • Check admission application forms and request further information from parents and schools where necessary to support the Admissions Lead
  • Assist with the administration of annual Reception intake procedures.
  • Update school database with new starters and issue new starter packs

Administration

  • Assist with the maintenance of administrative procedures and resources to include finance systems in order to support the Office Lead
  • Contribute to the maintenance of School Information Management System (SIMS) updating records as/when required (pupil data collection sheets)
  • Provide general clerical support including word processing, and other IT based tasks requiring knowledge of various ICT packages
  • Assist in scheduling and coordinating parents’ evenings, ensuring that appointments are scheduled efficiently and providing the necessary information to parents and teachers
  • Be responsible for producing basic reports, information and data as requested for the completion and submission of forms, returns etc., including those to outside agencies

Reception

  • Maintain a welcoming environment and arrange hospitality for visitors ensuring that reception area is maintained, and all equipment is appropriately stored
  • Monitor visitors, implement visitor sign‑in procedures and ensure the security of the school premises
  • Respond to inquiries from parents, pupils and the public, providing assistance and resolving issues or concerns whenever possible
  • Assist with incoming/outgoing mailing and distribution of various documents and communication, managing confidential and sensitive information with integrity and professionalism
  • Maintain office meeting calendar and manage room booking diary
  • Respond to the immediate welfare needs of pupils, as and when required

Support for the School

  • Comply and assist with the health and safety policies and procedures and report all concerns to an appropriate person
  • Manage school supplies, coordinate transportation arrangements and assist with special events or projects
  • Be aware of and support differences and ensure equal opportunities for all
  • Contribute to the development and implementation of the overall ethos/work/aims of the school
  • Develop constructive relationships and communicate with other agencies and professionals
  • Participate in training and other learning activities and performance development as required
  • Recognise own strengths and areas of expertise and use these to advise and support others
  • Contribute to the safeguarding and promotion of the welfare and personal care of the children and young people with regard to the Keeping Children Safe in Education agenda and Area Child Protection Procedures and ensuring that confidentiality is adhered to at all times

  • To undertake such other duties which may reasonably be regarded as within the nature of the duties/responsibilities/grade of the post
