Job Description Senior Medical Secretary (Private Services) n Location: Birmingham n Contract Type: Permanent n Salary: £30,000 – £35,000 n Start Date: ASAP n About the Role n Our client is seeking an experienced Senior Medical Secretary to lead and coordinate the administrative function across its growing private healthcare services. n This is an exciting opportunity for a highly organised and proactive individual to manage a team of Patient Pathway Coordinators, ensuring the smooth delivery of patient booking, pathway management, and administrative processes for both self-pay and insured patients. The successful candidate will play a key role in driving service excellence, supporting operational performance, and enhancing the patient experience. n Key Responsibilities n n n Lead, supervise, and support a team of Patient Pathway Coordinators n n Manage administrative workloads and ensure appropriate service cover n n Monitor referrals, inboxes, clinic activity, and booking performance n n Build and manage clinic rotas across private services n n Act as the first point of contact for B2B partners and external agencies n n Coordinate patient journeys from referral through to treatment and follow-up n n Support patient bookings, payments, investigations, results, and correspondence n n Monitor key systems including Semble, IRIS, and Apollo Radiology n n Handle patient queries, concerns, and complaints professionally and efficiently n n Lead staff induction, training, appraisals, and performance management n n Work collaboratively with clinical, operational, IT, finance, and support teams n n What We’re Looking For n Essential n n n Previous experience in a senior medical secretary, healthcare administration, or team leader role n n Strong understanding of private healthcare administrative processes n n Experience managing patient pathways and clinic bookings n n Excellent organisational and workload management skills n n Strong communication skills with the ability to engage confidently with patients, clinicians, and external stakeholders n n Experience using Microsoft Office applications n n Knowledge of healthcare confidentiality and data protection requirements n n Ability to work independently and make decisions in a fast-paced environment n n Desirable n n n Experience supervising or line managing administrative teams n n Experience using Semble, IRIS, Apollo Radiology, or similar healthcare systems n n NVQ Level 3 in Business Administration, Team Leadership, Customer Care, or equivalent n n Previous experience within private healthcare services n n If you are an experienced Medical Secretary or Healthcare Administrator looking to take the next step into a leadership role, we would welcome a confidential discussion….
