About The Role
The Contract Coordinator will assist the Commercial and Contract Management (CCM) team to provide structured commercial management support and coordinate key activities relating to commercials, finance, risk management, and supplier management. Reporting directly into the Head of CCM, the Coordinator will undertake tasks that support the onboarding, management and governance of all contracts as directed by the CCM team.
Responsibilities
- Support the onboarding of new contracts in conjunction with City of London Procurement to ensure all purchase requisitions are input, finances are set up, baselines for each contract are understood and reporting is ready for senior stakeholder review.
- Set up tracking and reporting across the function, supporting the Head of CCM in legislative and internal reporting and in line with savings budget/targets.
- Provide overarching oversight on spend for contracts that account for less than £10k per contract, ensuring efficiencies and adherence to the Procurement Code.
- Own the Procurement Authorisation Report (PAR) process, providing governance around pre-contract checks in line with current processes.
- Carry out any tasks required, including commercial governance materials, updating Change Registers, and ensuring all relevant documentation is stored for audit purposes.
Requirements
- Knowledge of the contract management area would be an advantage.
- Excellent administration and organisation skills with an ability to meet strict deadlines and prioritise own workload.
- Ability to work with minimum supervision in a pressurised environment.
- Ability to communicate at all levels, within and outside the organisation.
- High level of IT skills, including MS Word and Excel, with the ability to learn new software quickly.
