One of London’s prestigious private estates, managing over 1 million sq ft of commercial and residential property in the heart of London, has a rich heritage of nearly a century and is renowned for creating vibrant, characterful spaces that blend heritage with modern design. We are looking for a FM helpdesk coordinator.
Key Responsibilities
- Coordinate and manage the FM helpdesk function across the portfolio.
- Respond and communicate in an effective and timely manner to all issues/queries or tasks raised by tenants, the wider FM team, contractors/suppliers, asset managers or senior management.
- Advise and guide the maintenance and facilities team on the raising and closing of reactive, PPM and scheduled job requests within the FM helpdesk department. Respond to emergencies or urgent issues as they arise.
- Assess risk and escape if deemed necessary.
- Assist the facilities team in raising purchase orders and the subsequent processing of the associated invoices at head office.
- Collate information with the FM admin manager to produce quarterly reports across various lines.
- Build strong working relationships across various internal and external teams and departments.
- Assist facilities portfolio managers in delivering a proactive and solution-focused approach for FM services to sites.
- Perform any other ad-hoc tasks assigned by the facilities admin manager, including assisting with delivery of departmental projects.
- Ensure maintenance team and service providers follow company health & safety standards and adhere to legislation, minimising risks to staff, contractors and our properties.
- Maintain supplier details for facilities and health & safety, including filing all associated service provider and compliance documentation.
- Ensure all RAMS and work permits have been submitted before works commence.
