Job overview

The post holder will support the Medical Secretary Team within the Haematology department. The post holder will undertake the secretarial and administration duties as set out in the job description. Working to support the secretarial team, including line management of the audio typists within the department.

The post holder will be required to work closely with the clinical team to develop a clear understanding of the clinical service. In addition to direct line managing the Audio Typists, the post holder will be required to provide a high standard of secretarial support.

Main duties of the job

The successful candidate will be required to provide comprehensive secretarial support to the Clinical and nursing teams.

You will need to have the ability to work both independently and as part of a team whilst maintaining a high standard of work. The ability to prioritise your workload and to know when to escalate issues is essential. You will need to be able to liaise with staff throughout the Trust at all levels including Consultants, Management, Nursing staff, GP’s, patients and patient relatives, dealing effectively and efficiently with their enquiries.

To be successful in your application you will need to have a good standard of education, experience of an office based role, excellent verbal, written communication and typing skills and a clear understanding of patient confidentiality.

Person specification

Qualifications

  • 3 GCSE (or equivalent) including English at grade C/4 or above or equivalent experience/qualifications.
  • NVQ/RSA or OCR at level 3, or, relevant secretarial, admin and clerical experience that would equate to level 3.
  • ECDL or equivalent.

Experience

  • Experience in a clerical or secretarial role.
  • Experience of dealing with people who may be distressed or unable to communicate effectively.
  • Experience of working with computers on a day to day basis.
  • NHS experience.
  • Secretarial experience of typing clinic letters and clinical administrative letters.
  • Medical Terminology.
  • Supervisory experience.
  • Excellent organisational skills.
  • Ability to work using initiative and without supervision.
  • Ability to work with discretion and a passion for maintaining patient confidentiality.
  • Methodical and accurate with attention to detail.
  • Ability to work to agreed quality standards.
  • Ability to meet deadlines and work within time constraints.
  • Ability to manage own workload
  • Excellent inter-personal and communication skills.
  • Ability to build and maintain lasting working relationships with colleagues.

Further Training

  • Knowledge of Microsoft packages including Outlook.
  • Experience of Connect / Digital Dictation / PinPoint / ICE.
  • Knowledge of 18-week RTT.
  • Willingness to undertake training and appraisals as required by specific post.
