Band 3 Reception Coordinator – Radiology

We are looking for an individual with experience in supervising and supporting a small reception team. Responsibilities include booking appointments, managing the electronic diary and waiting lists, handling reception and administrative duties, providing face‑to‑face patient contact, prioritising workloads, and working within deadlines. Accuracy and attention to detail are paramount, as is the ability to use initiative and work effectively as part of a team.

This pivotal role bridges the gap between the management team and the reception team, ensuring clear communication, promoting collaboration and supporting the smooth day‑to‑day running of the service. The role also ensures that local policies and procedures are consistently applied and aligned across all sites, helping to maintain high standards of service delivery and operational consistency.

The Imaging Directorate provides 24/7 service delivery and has an established track record of service re‑design and transformation. This vacancy offers an excellent opportunity to join a professional and dedicated Imaging team committed to providing a first‑class service.

The Imaging Service at Heartlands Hospital and the CDC operates Monday – Sunday, 8:00 am – 8:00 pm, and involves weekend work and bank holidays on a rotational basis.

Main duties of the job

Responsible for deliveries, ensuring all changes are actioned and communicated to the team leader. Handling deliveries and coordinating tasks with the team leader. Book appointments, manage electronic diary and waiting lists, perform reception and admin duties, maintain face‑to‑face patient contact, meet deadlines, and use initiative.

Qualifications

  • Good general education (e.g. GCSE English and Maths A‑C, GCSE Level 9‑4)
  • Business administrative NVQ Level 3 or equivalent experience in an administrative role

Experience

  • Experience of dealing with the public/customer service experience
  • Experience of working with a range of Microsoft Office packages (e.g. Word, Excel and Outlook)
