Position Summary

As a Groups & Events Executive at St. Pancras you will take responsibility for group bookings, meetings & special events. You will ensure a high level of service throughout the complete transaction and through coordination with the Regional Sales Office, hotel departments, and customers, taking total responsibility for the finalization of the assigned group & events. Actively upsell each business opportunity to maximize revenue. Achieve personal and team related revenue goals. Ensure business is turned over properly and in a timely fashion for proper service delivery.

Responsibilities

  • Prepare all group and event documentation to the satisfaction of the customer (BEO), and conduct show rounds where appropriate.
  • Manage group room blocks and meeting space of assigned groups and/or events.
  • Carry out other duties as may be required to ensure the hotel operation is properly maintained to provide total guest satisfaction.
  • Process a group in both Opera and Marsha, including setting up a group block, naming a group, making changes, cancelling a group in both systems and changing room rates.
  • Ensure that the correct contracts and administration are completed and filed in an orderly fashion, to give quick access to client information.
  • Use Opera catering & PMS system to manage sales & account relationships, as well as appropriate catering/group/banqueting bookings. Ensure that information is correct, up to date and that databases are current.
  • Send out daily amendments for the events team to the total hotel.
  • Look after the financial obligations of the department such as raising purchase orders, check book maintenance and paying suppliers.
  • Raise commission invoices for agencies on behalf of the Event Manager.
  • Update electronic signage as per the Events of the day.
  • Follow all hotel and company policies.
