Care Group Secretary – Apprenticeship Opportunity

Job Overview
The post holder will provide an efficient, effective and confidential secretarial and administrative support service, including all secretarial and administrative duties to the Care Group Service Managers and Leadership Team. The role will also involve preparation and collection of data and statistics for service reporting.
RDaSH is offering this post alongside the opportunity to complete a relevant apprenticeship qualification. Apprenticeships include regular training with a college or other training organisation, with approximately 20% of working hours dedicated to training or studying, leading to a nationally recognised qualification.
Main Duties
- Provide comprehensive secretarial and administrative support to the Care Group Service Managers and Leadership Team.
- Deal with routine correspondence and telephone calls on behalf of the Service Managers.
- Manage diaries for Service Managers, including proactive preparation of documents and papers for agreed meetings.
- Manage email correspondence for the Service Managers as required.
- Provide administration support to identified work within the pathway as requested.
- Assist with the recruitment and selection process; compile candidate letters, arrange interview dates, and ensure documentation for successful candidates is received.
- Distribute relevant information to internal and external organisations on behalf of the Service Manager.
- Prepare and coordinate new staff inductions.
- Carry out any duties requested in line with the Service Manager or service’s requirements.
- Ensure efficient day‑to‑day management of the administration office, including booking meetings, events, and meeting rooms.
- Support Service Managers with requests for information.
Qualifications
- English and Maths at Level 2 or equivalent (GCSE 9‑4 or A*‑C or functional skills Level 2).
- NVQ Level 2 or equivalent in a related subject.
- NVQ Level 3 in a related subject or willingness to undertake a relevant Level‑3 Apprenticeship.
Experience
- Demonstrable experience of working in a busy environment, office procedures, and workload management.
- Experience of office procedures such as filing, photocopying, message taking, and typing.
- Experience accessing internet/email facilities.
- Experience liaising with staff across different disciplines.
- Previous NHS experience or experience in other large public‑sector organisations is an advantage.
Knowledge
- Knowledge and experience of using Microsoft Office applications.
- Understanding of confidentiality and security of information.
- Experience of using an online patient record system such as SystmOne is an advantage.
Skills
- Excellent verbal and written communication and presentation skills, with the ability to maintain effective relationships.
- Ability to work as part of a team or independently when required.
- Ability to work under pressure and meet strict deadlines.
- Flexible and adaptable approach.
