This role involves providing comprehensive business and administration support to the Research, Data and Digital Directorate, which includes supporting recruitment, procurement and business operations, including support for senior leads.

As part of this role there will be a requirement to work from our Cardiff office when required, which may be at short notice. Attendance is required for key meetings, training, events, or to support service delivery. Applicants should ensure they are able to meet this requirement. Office attendance expectations may be reviewed in line with organisational and service needs.

Main duties of the job

Duties involve organising and servicing meetings and managing enquiries from a range of internal and external stakeholders, which may include confidential information.

The successful candidate will be responsible for producing a variety of documents, databases and supporting financial processes such as raising and managing purchase orders and financial monitoring.

We are looking for someone with experience of working in a business or administrative support post, with strong communication skills and the ability to work independently, manage multiple priorities under pressure and use Microsoft Office applications such as SharePoint and Co‑Pilot, confidently. This is an exciting opportunity to work as part of a Team to provide business and administrative support to the Research, Data and Digital Directorate.

The ability to speak Welsh is desirable for this post; English and/or Welsh speakers are equally welcome to apply.

Person Specification

Qualifications and Knowledge

  • NVQ Level 4 in Business Administration (or working towards) or equivalent level of knowledge and skills.
  • Knowledge of administrative practices and procedures, including data protection and confidentiality principles.
  • Knowledge of confidentiality principles and information governance standards.
  • Awareness of financial management processes, such as requisitions and invoicing systems (e.g., Oracle).
  • Prince 2 practitioner or equivalent project management qualification.

Experience

  • Proven experience performing a wide range of administrative and business support duties.
  • Experience handling confidential and sensitive data, ensuring appropriate maintenance and storage of records.
  • Experience managing and prioritising a varied workload to meet deadlines.
  • Experience of minute-taking, including preparation of agendas and action logs.
  • Familiarity with procurement or financial systems.

Skills and Attributes

  • Proficient in the use of standard Microsoft software, such as Outlook, Teams, Word, Excel, PowerPoint, SharePoint and CoPilot.
  • Ability to demonstrate understanding and application of our workplace values, together with the underpinning behaviours identified for success in this role.
  • Excellent verbal and written communication skills with high attention to detail and accuracy in all tasks.
  • Strong organisational and time management skills, with the ability to prioritise and adapt to changing demands.
  • Strong problem‑solving skills, using initiative to address challenges and respond to unexpected demands.
  • Ability to work collaboratively within a team, supporting others and recognising shared goals.
  • Welsh Language Skills are desirable at levels 1.

  • Ability to travel between sites in a timely manner to meet the needs of the service.
