About you

Essential:

  • Proven experience within the hospitality sector / professional services – this is an essential requirement
  • A confident communicator with first-class interpersonal skills
  • Immaculate personal presentation and a professional, courteous manner
  • Highly organised with strong time management and the ability to juggle competing priorities
  • Meticulous attention to detail
  • Competent user of Microsoft Office, including Word, Excel, Outlook and Teams

Desirable:

  • Previous experience in a reception, front-of-house or administrative position
  • Exposure to invoicing and processing payments
  • Some familiarity with keeping financial records

What you will do

  • Take charge of meeting room reservations, ensuring each space is immaculately presented ahead of, and reset after, every booking
  • Work closely with the in-house catering team to arrange refreshments and ensure they are delivered and served on time
  • Act as the welcoming first point of contact, greeting guests, clients and contractors with warmth and professionalism
  • Log maintenance and repair issues without delay and follow them through to resolution
  • Handle incoming calls, dealing with enquiries and transferring callers to the right person
  • Sign visitors in and out, issue and track access passes, and uphold security protocols at all times
  • Provide day-to-day administrative support including data entry, printing, photocopying, report preparation and client email correspondence
  • Assist with the organisation and set-up of events and functions, including planning and preparation
  • Sort and distribute incoming post and manage outgoing mail, deliveries and couriers
  • Develop strong working relationships with regular building users, clients and wider stakeholders
  • Liaise with external contractors, suppliers and service providers as needed
  • Keep the reception and front-of-house areas tidy, organised and welcoming throughout the day
  • Maintain accurate records, filing systems and databases
  • Support health and safety procedures and adherence to company policies and site standards
