LEGAL ADMINISTRATOR / LEGAL ASSISTANT

BelfastFull-time | Office Based

Nixon McQuade is partnering with a well established legal practice to recruit a Legal Administrator to join its busy and supportive team in Belfast.

This is an excellent opportunity for an experienced legal administrator or legal secretary looking to support a senior legal professional while playing a key role within a collaborative department. The successful candidate will provide high-quality administrative and client support, ensuring the smooth day to day running of the team.

The Role

  • Provide dedicated administrative support to a senior Partner and the wider legal team.
  • Manage the opening and closing of client files, ensuring compliance with internal procedures and quality standards.
  • Act as the first point of contact for departmental telephone enquiries, managing calls and arranging callbacks where required.
  • Coordinate the Partner’s diary, scheduling appointments, meetings and ensuring all preparations are completed in advance.
  • Arrange consultations and meetings with external professionals, including Counsel.
  • Prepare client invoices and assist with the initial stages of credit control.
  • Support the preparation of legal aid applications and responses.
  • Liaise with costs specialists regarding billing matters.
  • Assist in maintaining and developing the firm’s case management system to support paperless working.
  • Provide general administrative support across the department as required.

The Person

  • Previous experience in a Legal Administrator, Legal Secretary or similar legal support role.
  • Experience supporting a Partner or senior legal professional is highly desirable.
  • Strong client service skills with a professional and confident communication style.
  • Highly organised with excellent attention to detail and the ability to manage multiple priorities.
  • Experience preparing documents and client correspondence to a high standard.
  • Strong working knowledge of legal case management systems and Microsoft Office.
  • Experience within Family or Matrimonial Law is advantageous but not essential.
  • A proactive, positive approach with the ability to work effectively as part of a team.
