Job Summary
This is a fixed term post for up to 12 months for maternity cover at Kendray Hospital. The role is 37.5 hours per week, working a rolling shift pattern 8 am‑8 pm, including weekends and bank holidays. Each shift is 8 hours including a 30‑minute lunch break.
Key Responsibilities
- Receipt and distribution of patient referrals to the appropriate staff via telephone, email and SystmOne, following departmental procedures and timescales.
- Accurately transcribe medical conditions, treatments and medications and patient demographics for nursing staff.
- Provide secretarial and administrative support to clinical and support services in a confidential and efficient manner.
- Maintain up‑to‑date logs and diaries, arrange meetings and manage the administrative workflow.
- Communicate effectively with patients, families, service users and health professionals, demonstrating empathy, clarity and confidentiality.
- Prioritise workload, exercise independent judgment and seek guidance when issues exceed the post holder’s competency.
- Act as the principal point of contact for users of the service, including individuals inside and outside the Trust.
- Work flexibly to meet the needs of the service and maintain positive service user experiences.
- Adhere to all Trust policies, procedures, protocols, data protection requirements and service delivery plans.
Qualifications & Experience
- Recent secretarial/administrative experience, including note‑taking, copy /audio typing and maintaining electronic diaries.
- Proficient in Microsoft Office (Word, Outlook, Excel, PowerPoint).
- Good written and verbal communication skills, with the ability to prepare routine correspondence and pass confidential information accurately.
- Knowledge of data protection and information governance.
- Demonstrated ability to work independently, prioritise tasks and handle competing demands.
- Ability to work with confidentiality, uphold the NHS Trust values and provide excellent customer care.
- NVQ Level 3 or equivalent qualification; RSA Level III or equivalent is preferred.
- Willingness to undertake further study and development.

Workplace and Salary
- Location: Kendray Hospital, Doncaster Road, Barnsley, S70 3RD, United Kingdom.
- Pay: £25,760 to £27,476 per year, Band 3.
- Contract: Fixed term, 12 months.
- Working pattern: Full‑time, flexible shift schedule.
