Job Description:

We require a Clerical Officer to provide admin/clerical support within the Health Records Department at Victoria Hospital, Kirkcaldy.

The role is based in the Bed Bureau team, covering A&E at Victoria Hospital and occasionally at MIU, Queen Margaret Hospital. You will provide front‑line service to patients arriving at each department and record patient attendance and admissions via Trakcare. The role requires empathy and professional customer service when dealing with anxious or upset patients and their relatives.

Administrative tasks include running reports, updating records accurately, preparing and scanning medical case notes and ED cards, and uploading documents to the clinical portal.

You may receive training in NHS Fife Switchboard, where you will handle internal and external calls, pager requests, emergency calls, monitor alarms and provide advice on telephony services to NHS staff and the public.

Ad‑hoc duties may be requested by Health Records Supervisors to support the 24/7 Inpatient and Emergency team.

Accuracy and attention to detail are essential, as data are uploaded to a live clinical system.

Relevant admin/clerical experience is required, along with the ability to prioritise and manage the daily workload in a busy environment. You will work independently and as part of a team.

Working Hours

  • Monday 8:00‑4:00
  • Tuesday 8:00‑4:00
  • Thursday 8:00‑4:00
  • Friday 8:00‑4:00
  • Every 2nd Sunday 8:00‑1:30 (enhanced pay rates in line with organisational policy)

Key Skills, Knowledge and Experience

Candidates should be educated to Standard Grade (or equivalent) with passes in English and Arithmetic. They must have good keyboard/typing skills and the ability to work on their own initiative, with strong organisational and listening skills. A high level of English language competency and communication skills is necessary to perform this role safely and effectively.
