Job overview

We are seeking a dedicated and organised Administration Assistant and Receptionist to join our busy school office team. In this varied role, you will provide high-quality administrative support while managing the school’s reception area. You will play a key part in supporting staff and students by ensuring that all visitors have a great first impression of the school, maintaining records, and contributing to the smooth day-to-day running of the school.

Key Responsibilities

  • Act as the first point of contact on behalf of the school for all visitors, parents, deliveries and contractors; ensuring a professional greeting that aligns with the school’s safeguarding procedures.
  • Handle incoming telephone calls professionally and promptly, directing callers, taking messages and using judgement to screen calls when necessary.
  • Use tact and diplomacy when dealing with complex reception/visitor matters in difficult circumstances.
  • Ensure the smooth running and organisation of the reception area, maintaining a neat reception desk, outer reception area and small meeting room, while safeguarding information security and confidentiality.
  • Accurately record messages and incidents, ensuring all messages are conveyed to the correct person promptly.
  • Take messages for staff, monitor the reception info email box and execute requests efficiently.
  • Use Tannoy in a clear and concise manner during emergencies.
  • Open and distribute incoming mail, keep the franking machine topped up, and ensure all outgoing mail has correct postage for daily Royal Mail collection.
  • Deal with local incoming/outgoing mail and deliveries, ensuring large items are removed from the reception area by the site team promptly.
  • Maintain and print off fire registers daily, attaching them to clipboards for fire drills.
  • Register students who are late after 8:45 am each morning.
