Overview
Office Manager position based in Edinburgh. The role is to be the focal point of the office, ensuring day-to-day upkeep, smooth running, and maintenance. You will work closely with partners and a senior team of Associates, supporting practice-wide initiatives and ensuring business priorities are met.

Responsibilities
- Overseeing the day-to-day management of the office.
- Efficient running of the front office, including management of meeting rooms, visitors and refreshments.
- Call management.
- Premises maintenance management, including organising works and ensuring checks and maintenance visits are completed on time.
- Liaising with service providers (gas, electricity, water, recycling, etc.).
- Management of office cleaners and other building maintenance services.
- Monitoring and ordering office supplies.
- First point of contact for problems with the building and tenants.
- First point of contact for external IT consultants.
- Office health and safety management, including weekly fire alarm tests, fire drills, and organising training.
- HR management including employment contracts, recruitment and onboarding new staff.
- Developing, implementing and maintaining office policies and procedures in agreement with the partners.
- Attending regular management meetings and minuting partnership board meetings.
- Typing correspondence, meeting minutes, reports, schedules, etc., and audio typing as required.
- Long-term development of the role, including potential mental health first aider responsibilities with training and support provided as appropriate.
General Skills and Experience
- Ability to write clear English and proofread others’ writing.
- Strong organisational and administrative skills with attention to detail.
- Excellent core IT skills (MS Office: Teams, Word, Excel, Outlook, PowerPoint).
- Working knowledge of Adobe Photoshop and InDesign is beneficial but not essential; training can be provided.
- Good understanding of health and safety in the workplace.
