Job Description:

The Administration Assistant is the central point of coordination for the administration and public engagement of the Lancaster Arts programme working closely with the Operations and Planning Manager and the Communications and Marketing Manager to support our Autumn 2026 season.   • Managing the Box Office / primary phone contact onworkingdays, managing day-to-day queries and the box office by phone and email.
  • Inputting data (e.g. Arts Council Annual Survey, environmental and engagement reporting)
  • Process all external artists’ contracts in accordance with procurement guidelines, including raising purchase orders for artists and other suppliers, and liaising with the finance department to ensure timely payment. This function works closely with the Operations and Planning Manager
  • Monitoring audience feedback, and working closely with the Communications and Marketing Manager (e.g. sending out post-show surveys, completing show reports, monitoring at events)
  • Calendar management for team meetings
  • Room bookings for the internal needs of the team
  • Accurately recording expenditure across the budgeted programme of activity
  • Support Front of House functions on show days using online ticketing software (Ticketsolve)
  • Support Production Assistant on performance days, greeting artists, sorting accommodation, and dressing room needs

Qualifications and Experience

  • Track record of public-facing roles and managing/ understanding customer relationships
  • Ability to communicate effectively and appropriately with a variety of people whilst maintaining professionalism, across various methods of communication
  • Problem-solving skills and initiative
  • Evidence of experience in accurate data monitoring
  • Experience of financial processing and administration of contracts
  • Experience and working knowledge of an arts or cultural organisation
  • Preferred experience of box office systems
