About the role

We are seeking a Technical Administration Assistant to join our team at our Brooklyn, VIC 3012 office on a full-time basis. This is a key support position that bridges our technical and administrative functions, ensuring smooth day-to-day operations across the organisation. As Technical Administration Assistant, you will provide essential administrative support for our staff and IT support remotely for clients. This role is instrumental in maintaining operational efficiency and supporting the IT systems of our clients.

Key responsibilities

Admin

  • Assigning jobs planning, permits, access and scheduling
  • Responding to customer requests for service via phone and email
  • Communicating with staff on their schedule, required equipment and site details
  • Communicating with subcontractors to schedule in support of the technicians, or interstate works
  • Creating job packs using templates for the site technicians
  • Management of all site technicians (task assignment, reporting, etc)
  • Scheduling equipment inspections by internal staff of internal use equipment as per our scheduled inspection system

IT

  • Performing remote IT support for customers including:
  • Assisting with fault finding on software
  • Updating Office 365 systems
  • Monitoring backups and software alerts
  • Ordering hardware and software licences for customers
  • Assisting the bookkeeper to ensure accuracy of hardware/software licensing invoicing by adding details to our CRM
  • Recording job notes on remote IT support
  • Updating client access documentation

What we are looking for

  • Proven experience working in an IT roll with administrative functions, ideally within a technology-focused environment or technical company
  • Strong organisational skills with the ability to manage multiple tasks and priorities effectively
  • Level 2 helpdesk experience as a minimum
  • Excellent written and verbal communication skills with the ability to liaise professionally
  • Attention to detail and accuracy in all administrative work
  • Ability to work independently and as part of a team in a collaborative environment
  • A proactive approach with the ability to anticipate needs and solve problems
  • Experience with document management systems or project management tools is desirable
  • Excellent time management and ability to meet deadlines consistently
