Location

Office located in or near a fleet maintenance facility.

Working Conditions

The employee is regularly required to sit, communicate, and operate a computer and standard office equipment. The position may occasionally require standing, walking, bending, reaching, and lifting or moving items weighing up to 25 pounds. Work is primarily performed in an office located in or near a fleet maintenance facility. The employee may occasionally be exposed to noise, dust, vehicle exhaust, moving mechanical parts, weather conditions, and other conditions associated with fleet and equipment maintenance.

Essential Functions

  • Maintain accurate fleet records and work orders; prepare reports on maintenance, costs, inventory, downtime, and vehicle/equipment utilization.
  • Enter, update, review, and close work orders while tracking maintenance activities, parts, labor, mileage, repair costs, purchase orders, vendor services, and invoices.
  • Monitor preventive maintenance schedules, overdue services, repairs, and vehicle downtime; communicate service needs to Fleet Services and City departments.
  • Assist with parts and supply inventory, including receiving, recording, organizing, issuing, and reconciling inventory.
  • Process requisitions, purchase orders, quotes, receipts, invoices, and other purchasing documentation in accordance with City procedures.
  • Communicate and maintain professional working relationships with vendors, dealerships, repair facilities, towing providers, City departments, employees, and the public regarding parts, repairs, warranties, scheduling, service status, and completion dates.
  • Prepare fleet-related information and reports for management, budgeting, auditing, and fleet replacement planning.
  • Provide administrative support, including correspondence, filing, telephone and email communication, scheduling, and ordering office and operational supplies.
  • Maintain confidentiality of sensitive City and employee information.
  • Perform other related duties as assigned.

Qualification Requirements

  • High school graduation or GED and six months’ experience.
  • Experience in administrative support, records management, purchasing, fleet administration, or a related field preferred.
  • Working knowledge of office procedures, records management, data entry, purchasing, and customer service.
  • Ability to use word processing, spreadsheet, email, inventory, and fleet management software.
  • Ability to maintain accurate records, organize and prioritize work, meet deadlines, communicate effectively, and follow written and verbal instructions.
  • Ability to handle confidential information appropriately.
  • Valid Georgia driver’s license.
