We are currently seeking an experienced and proactive Medical Secretary/Senior Administrator to join our administrative team. There are excellent train links to Dumbarton and onsite parking. The Role This is a senior administrative position requiring a high level of organisation, accuracy and confidentiality. The successful candidate will provide vital support to GPs and the wider multidisciplinary team, with responsibility for key administrative and clinical support functions essential to the smooth running of the practice. Key Responsibilities – Provide comprehensive medical secretarial support to GPs and clinical staff – Prepare and manage clinical correspondence, including letters, referrals, reports and hospital discharge summaries – Process and manage Subject Access Requests (SARs) in accordance with GDPR, the Data Protection Act 2018, and NHS Scotland information governance guidance – Ensure accurate clinical coding and summarising of patient records – Maintain high-quality, up-to-date electronic patient records using the practice clinical system (Currently EMIS and moving to Vision this year) – Liaise professionally with secondary care, community services, NHS Greater Glasgow and Clyde and external agencies – Assist with overseeing administrative workflows and support junior administrative staff where appropriate – Contribute to quality improvement, practice development and efficient administrative processes – Reception cover during holiday periods Essential Criteria – Previous experience as a Medical Secretary or Senior Administrator within a GP practice or healthcare setting – Demonstrate experience managing Subject Access Requests, including a clear understanding of GDPR and Data Protection 2018 requirements – Strong knowledge of NHS Scotland primary care processes – Excellent IT, typing and organisational skills – Ability to prioritise workload and work independently in a busy environment – High level of attention to detail and professionalism Desirable Criteria – Experience with clinical coding and summarising – Experience supporting or supervising administrative staff What We Offer – Friendly and supportive practice team – A key senior role within a respected GP practice – Opportunities for ongoing training and development – NHS pension scheme How to Apply Please submit your CV and covering letter detailing your relevant experience.
