We are looking for an organised, professional and friendly individual to join our sexual health service as a Clinic Support Administrator. The role involves providing a welcoming front‑of‑house service and managing patient enquiries across multiple clinic sites in Suffolk.

Responsibilities
- Provide a professional and welcoming front‑of‑house service at the clinic.
- Act as the first point of contact via telephone, email, and in‑person, managing a centralised call system for multiple clinic sites.
- Monitor and respond to a shared generic mailbox, escalating issues as required.
- Process referrals, bookings and patient registrations using the electronic patient record system.
- Provide accurate information and direct patients appropriately across the service network.
- Arrange interpreting or communication support where required.
- Support patient flow within clinics to ensure appointments run efficiently.
- Assist patients with routine observations (height, weight, blood pressure, urine sample collection) after appropriate training.
- Act as a chaperone for clinical consultations and examinations in line with service policy.
- Communicate results to patients verbally where directed by a clinician.
- Maintain reception, waiting and operational areas to agreed cleanliness and tidiness standards; follow infection prevention and cleaning protocols.
- Report estates or environmental issues promptly; monitor and maintain stock levels including ordering stationary and supplies.
- Manage incoming and outgoing post, including Royal Mail click and drop processes.
- Support the condom‑by‑post scheme and medication collections in line with service procedures.
- Maintain strict confidentiality at all times and handle sensitive information in accordance with data protection legislation and service policies.
- Work collaboratively across sites and within the wider team, including participation in team meetings, supervision and training.
- Participate in the Saturday rota and may be required to work evenings up to 8 p.m. within contracted hours.
- Travel independently between Ipswich and Bury St Edmunds as required.
- Undertake other duties as reasonably required to support the organisation.
Qualifications & Experience
- Essential: Good standard of general education, including GCSE (or equivalent) in English and Maths.
- Desirable: NVQ Level 2 in Business Administration or equivalent experience.
- Essential work‑related knowledge: Experience in a customer‑facing or front‑of‑house role; handling telephone enquiries in a busy environment; administrative duties including accurate data entry and record keeping; working as part of a team; working with members of the public.
- Desirable: Experience in a healthcare or public service setting; using electronic patient record systems; monitoring shared mailboxes or processing referrals.
- Essential skills & aptitudes: Excellent communication skills (verbal and written); ability to provide a professional and welcoming front‑of‑house service; work calmly and effectively in a busy environment; prioritise workload and manage time; follow administrative and clinic procedures accurately; strong attention to detail; develop positive working relationships; respond calmly to challenging situations; commitment to confidentiality; understanding of safeguarding principles; willingness to undertake training for routine observations and chaperone duties; good IT skills; flexibly work across sites and travel independently.
- Desirable: Experience managing challenging situations with members of the public.
Other Important Information
• Part‑time position (32 h per week) with planned cross‑site working between Ipswich and Bury St Edmunds.
• Includes Saturday rota and possible evening shifts up to 8 p.m.
• The role is part of a specialist sexual health service; the post holder must be comfortable working in this environment.
