Job Overview

The Campus Welfare Manager (Welfare Manager) role is residential and includes all meals and accommodation. Welfare Managers are responsible for the welfare, administration, safety and security of students, including assisting with arrivals, departures and airport transfers.

The role is supervisory; Welfare Managers must ensure that Group Leaders act as leaders for individual students, ensuring attendance at classes and activities, maintaining contact details, and being available in emergencies. Welfare Managers coordinate and support overnight activities and supervise OWLs.

Administrative duties include running the campus course, working closely with the Centre Manager. The position is a six‑day week; full‑time staff receive one full day off per week. Three referees must be supplied. All activity staff undergo a paid induction (£12.30/hour) and may be asked to start work after this induction. Attendance at the induction is essential.

Other Important Information

May work more than 48 hours per week, including evenings and weekends. Holiday accrued pro rata and paid in lieu at the end of the contract. No overtime payment unless expressly agreed. Employees must be of St Andrew’s College Language Schools.

Main Duties and ResponsibilitiesSafeguarding Responsibilities

  • Read and understand the safeguarding policy and know how to raise and report concerns.
  • Ensure all students’ and staff equal rights entitlement are met.
  • Ensure on‑site staff follow the behavioural code of conduct set out by St Andrew’s College Language Schools.
  • Ensure all students follow the school’s code of conduct in the student contract.
  • Make certain that under‑18s on campus have a purple lanyard and over‑18s have a white lanyard.
  • Ensure staff without a completed disclosure check (PVG/DBS) are identifiable via a lilac ID card.
  • Regularly notify and remind students and staff of the online safety policy.
  • Ensure students know the Welfare Coordinators and how to report to them.
  • Ensure that any information students disclose must be shared with appropriate personnel.
  • Continuously monitor all risk assessments.

Welfare and Administration

  • Read and understand the supervision manual, staff handbook and policies for welfare and protection of children.
  • Ensure students’ dietary requirements are met and their cultures and religions respected.
  • Induct and liaise with other welfare staff on student pastoral care duties.
  • Help students adjust to life in the UK and understand personal safety, British law, culture and values.
  • Coordinate student orientation and induction, ensuring students have keys, lanyard, and ID badges on arrival.
  • Ensure Group Leaders supervise students effectively and oversee supervision when necessary.
  • Manage and timetable the Residential OWLs for adequate student supervision during the night.
  • Ensure all students attend their timetabled activity/class; liaise with Director of Studies/Activity Manager.
  • Supervise students during free time when required.
  • Plan and organise pre‑arrival and departure checks and damage surveys; assist the Centre Manager with deposits.
  • Coordinate airport transfers for student arrivals and departures.
  • Ensure emergency procedures are known; display fire, health and safety information.
  • Oversee evacuation during fire drills/alarms and monitor health and safety issues in accommodation.
  • Maintain accurate rooming lists; carry out fire drills regularly.
  • Build community spirit through notice boards, competitions and residence rules.
  • Maintain student discipline in residences, liaise with OWLs, management, and Group Leaders; report damages promptly.
  • Liaise with Centre Manager and campus staff to ensure housekeeping and maintenance duties are completed.
  • Liaise with Group Leaders daily, both informally and at scheduled meetings.
  • Quality assurance of first aid log, incident reports, activities, actions taken.
  • Ensure events are promoted effectively and students sign up in advance.
  • Ensure registered students attend correct sessions and maintain accurate registers.
  • Coordinated distribution and collation of feedback questionnaires and take action with Centre Manager and/or Managing Director.
  • Quality assurance of meal time supervision.
  • Assist Centre Manager and Activities/Excursion Manager with general administration (e.g., photocopying, preparing student packs).
  • Be on call between 7 am and 1 am for health and safety issues; not required between 11 pm and 7 am.
  • Perform any additional duties as required.

Disclosure Checks

  • Provide a Disclosure (PVG from Disclosure Scotland / Enhanced from Disclosure and Barring Service) dated within three months of the start date.
  • Equivalent police check required if previously worked abroad.
  • Cost payable by employee (£18 to £67.50); may be deducted from salary.
  • Procedure may take 14 days to 18 weeks; compliance required if still pending at commencement. xwzovoh
