Role Title: Office Manager

Pay: £32-£36k per annum, depending upon experience. PIPs pension, bonus scheme, holiday allowance and private healthcare.

Contract: Full-time, permanent

Reports to: Senior People Operations Manager

Direct reports: None

Location: This is a fully office-based role. (Black Bull Yard, 24–28 Hatton Wall, London EC1N 8JH)

About you

A professional, approachable individual with a welcoming manner, confident acting as the first point of contact for members and visitors. Highly organised and proactive, with strong administrative skills and the ability to ensure the smooth day-to-day running of the workplace.

Proactive and well organised, with a track record of building and maintaining positive working relationships within a small, fast-paced team. Demonstrates an efficient approach to work, excellent attention to detail and strong communication skills, with confidence in engaging a wide range of stakeholders.

At least 2 years experience as an Office Manager or similar role is essential, along with advanced proficiency in business applications, particularly Microsoft Office. 

Familiarity with Health & Safety compliance and working within a membership organisation are not essential but would be desirable.

What you’ll be doing

As Office Manager, you will be the first point of contact for visitors and members, the person who keeps the office running smoothly, and a trusted source of administrative support for colleagues across the team. If you thrive in a fast-paced environment, enjoy wearing multiple hats, and take genuine pride in making a workplace function well, this could be the role for you.

  

Office Management:  

  • Welcome visitors at reception and manage general enquiries, including emails and telephone calls
  • Oversee day-to-day running of the office to ensure smooth and efficient functioning
  • Manage meeting rooms bookings
  • Maintain relationships with service providers and handle contract reviews
  • Assist with the coordination of office events and team activities
  • Procure office supplies and monitor associated expenditure
  • Ensure compliance with Health & Safety regulations

Team Admin:

  • Organise and coordinate team meetings
  • Provide administrative support to management and team members
  • Assist with diary management for the CEO
  • Arrange travel and accommodation for the team
  • Support recruitment activity, including posting vacancies and scheduling interviews
  • Assist with onboarding, ensuring all necessary equipment and resources are prepared for new starters

Hours of Work:

  • Working hours are 9.00am to 5.30pm, with an early finish of 4.30pm on Fridays. 
  • There may be a requirement to work occasional evenings to support and attend events, depending on business needs.

This role profile is not exhaustive; it will be subject to periodic review and may be amended to meet the changing needs of the business. The post holder will be expected to participate in this process and we would aim to reach agreement to the changes.
