Responsible For: Administrative and clerical staff

Job Purpose

To manage the administrative functions within the school, providing an efficient support service to the Headteacher and teaching staff.

Main duties and responsibilities

  1. Provide a full secretarial service to the Headteacher, including typing/word processing documents, taking and receiving telephone calls, making diary appointments, arranging hospitality, organising awards evenings and school fundraising events, etc.
  2. Organise and supervise the work of the clerical, administrative and finance staff, including allocation of work, monitoring of workloads, and carrying out appraisals.
  3. Develop and maintain the school’s management information systems, covering personnel, finance and pupil information, ensuring effective administrative systems are in operation throughout the school.
  4. Handle the personnel administrative function for new appointments, leavers and contract changes, liaising as necessary with personnel and payroll providers, and ensuring pre‑employment checks (CRB, medical, etc.) are undertaken.
  5. Oversee procedures related to school finances, under the direction of the Headteacher: budget planning and monitoring, processing orders and invoices, reconciling accounts, and producing required financial reports.
  6. Coordinate and arrange provision of cover for absent teachers under the direction of the Headteacher.
  7. Ensure all monies are collected, recorded and banked in accordance with procedures in a timely manner.
  8. Handle petty cash and keep records of expenditure.
  9. Administer education visits in liaison with the Educational Visits Organiser: liaising with staff, writing to parents, collecting and banking money.
  10. Oversee tasks related to new admissions, transfer of leavers and maintenance of pupil records.
  11. Maintain the school prospectus and website.
  12. Prepare draft letters and reports on behalf of the Headteacher as required.
  13. Prepare papers for, convene and organise the minute‑keeping of meetings for the Headteacher and senior management team.
  14. Administer Free School Meals.
  15. Arrange monitoring of pupil attendance.
  16. Maintain confidentiality at all times regarding school‑related matters and safeguard sensitive information.
  17. Undertake any other duties of a similar level and responsibility as required.
