Job Description:

Reporting to the Assistant Fleet Manager, the Transport Administrator supports the efficient operation of our fleet by providing administrative, compliance, and coordination support to the Transport Management team.

Position: Transport Adminstrator

Location: Customer Solutions Centre, Slough Head Office (Slough; Berkshire); role is in office only.

What is essential is the ability to work safely to quickly diagnose and deliver practical and efficient solutions to attain the highest levels of service for our customers.

Job Type: permanent, full-time

Hours: Monday to Friday, 37.5 hours (start times to be discussed on interview)

Salary: £28,000 to £31,000 per annum, depending upon experience

Responsibilities

  • Provide day‑to‑day administrative assistance to the Assistant Fleet Manager and wider Transport team.
  • Maintain accurate and organised documentation relating to vehicle maintenance, inspections, and compliance activities.
  • Assist in scheduling vehicle servicing, MOTs, and inspections, ensuring all deadlines are met.
  • Prepare reports and summaries for management, highlighting key data such as vehicle status, compliance records, and costs.
  • Renew R&M Contracts.
  • Penalties and Parking Charge Notice administration.
  • Support the monitoring of UK transport regulations to ensure ongoing compliance across the fleet.
  • Assist with internal audits and preparation of documentation for external inspections or reviews.
  • Keep accurate records of driver qualifications, licenses, and training certifications, ensuring timely renewals.
  • Maintain accident and incident logs, assisting with follow‑up actions and documentation as required.
  • Notify insurance company of incidents.
  • Coordinate HGV and on‑the‑road driver training.
  • Act as a key point of contact for communication between the Transport team, drivers, suppliers, and external service providers.
  • Support effective collaboration by ensuring all parties receive accurate and timely information.
  • Liaise with external vendors regarding maintenance schedules, quotations, and service updates.
  • Assist in preparing regular compliance and performance reports for senior management.
  • Maintain databases and systems related to fleet management, ensuring data accuracy and accessibility.

About You

The ideal candidate will have a keen eye for detail, excellent organisational skills and effective communication and interpersonal skills. They will also be committed to upholding the highest standards of safety and compliance within the context of our operations at Lanes Group by having an in-depth knowledge of UK transportation regulations and compliance standards. Having previous experience with maintenance software and record‑keeping systems is beneficial. A full UK drivers licence is crucial to the role.
