About the role
To assist the facilities team with the efficient running of the facilities management function (hard and soft services), to ensure a consistent high level of service to staff, contractors, and visitors.
Key responsibilities will include
- To assist the facilities team with the efficient running of the facilities management function (hard and soft services), to ensure a consistency high level of service to staff, contractors, and visitors
- Assist the FM in managing Health and Safety throughout the office to ensure safe procedures are implemented in line with current legislation. Routine checks carried out and records retained.
- Assist the FM in managing the PPM schedule and liaise with contractors and suppliers.
- Assist the FM with some aspects of building moves, building refurbishment projects, internal office moves and space management.
- Assist with the First Aid facility, carry out and record routine checks on first aid kits, defibrillator and replenish stock.
- Assist with catering and beverages for service training, customer training and ad hoc lunches when requested. Ensure training areas and meeting rooms are ready for use.
- Research and purchase (via Purchasing Team) office supplies including furniture, equipment, stationery, kitchen equipment, staff beverages as approved by the FM.
- Attend the social committee monthly meetings and help to arrange employee social events to include Charity and Christmas events.
- Provide administrative support to the FM with photocopying, scanning, laminating, updating noticeboards and any other administrative requirements.
Essential Skills & Experience
- Strong Customer Services mindset and genuine interest in maintaining high standards.
- Excellent office administration skills including Outlook, Word, Excel.
- Ability to learn quickly on the job, with a proactive hands‑on approach.
